Getting Started

ShiftShow is the ultimate smart scheduling app that lets you plan your shifts, leave, holidays, overtime, tasks and events months — or even years — in advance, all at a single glance. • Share your schedule with colleagues, friends, and family • Designed for rotating or fixed schedules • Track overtime, manage tasks, plan leave, schedule events • Public holidays on the calendar — automatic for your country, plus custom holidays • Monthly and annual HR verification reports — PDF (multi-page A4 print), Excel, and CSV, with optional employee name, employee number, and signature lines • Smart shift alarms — set once, never forget a shift again • Optional Google Drive backups (to your own Drive) • Helps maintain a balanced work-life rhythm
Getting started is easy: On the first install, you will be prompted for permissions. 1. On first launch with no shifts, the 'Get started' dialog offers: • Use Smart Shift Builder — create a recurring shift pattern from scratch • Add shifts manually — tap dates on the calendar to add shifts one at a time • Restore from Google Drive — pick a previously exported backup • Import file — pick a ShiftShow JSON export from your device • Copy from clipboard - Paste a shared or copied ShiftShow schedule. 2. After shifts are added (builder, manual entry, import, or restore), the app opens alarm setup. When you leave the alarm screen, Settings opens with Public Holidays expanded — choose your country. 3. Optional: go to Settings → HR Reports and enter your employee name and employee number, set shift times, counting rules, Sunday vs public holiday rule, and choose which report sections to include on exports. 4. Configure your preferences in Settings → Notifications (alarms, reminders, backup reminder, etc.). All features are available immediately — no sign-in required and no premium upgrade.
Yes! ShiftShow works fully offline — including public holidays, which are bundled with the app. The only features that need an internet connection are backup/restore to and from Google Drive and ads.
No. ShiftShow works completely offline and doesn't require any account creation or sign-in. All features are available immediately upon installation.
Yes. All features are available to all users at no cost. There are no premium subscriptions or in-app purchases. We earn revenue from ads, designed not to disrupt your use of the app.
No. ShiftShow is completely free with all features available to all users. There are no premium subscriptions, in-app purchases, or paid features.
ShiftShow requires Android 7.0 (Nougat) or higher. This applies to both phones and tablets. The app will install and run on older supported versions (including Android 7 and 8), but shift alarms and some background features work best on Android 12 or higher. On Android 7–11, alarms may be delayed or unreliable because of battery optimisation and older Android limitations — disable battery optimisation for ShiftShow and see the alarm troubleshooting section if you have issues.
Use the arrow buttons at the top of the calendar to move between months. You can navigate years into the future or past. Tap any date to add or edit a shift on that day, or long-press a date to open a quick-action menu (Add Task, Add Event, Add Leave, Add Overtime).
ShiftShow uses colour coding to help you quickly identify shift types and special days. • Shift colours may vary depending on your shift system. • Public holidays are highlighted on the calendar so you can spot them at a glance. • Sundays when you are scheduled to work are highlighted separately. • The legend (colour chart) below the main calendar shows which colour corresponds to each shift type.

Permissions

ShiftShow uses the following permissions: REQUIRED FOR ALARMS AND REMINDERS: • Notifications — for shift alarms, reminders, task and event notifications (runtime grant on Android 13+) • Alarms & reminders / Exact alarm — needed so shift alarms fire at the exact time (runtime grant on Android 12+) • Full-screen alert — so alarms can light up the screen over the lock screen instead of being a silent notification (runtime grant on Android 14+) • Display over other apps — so the alarm screen can appear above other apps USED IN THE BACKGROUND: • Wake lock / Disable keyguard / Vibrate — so alarms can wake the device, vibrate, and show over the lock screen • Foreground service (media playback) — keeps the alarm ringing reliably when it goes off • Receive boot completed — re-schedules alarms and reminders after a reboot OPTIONAL: • Internet & network state — only used for Google Drive backup/restore and ads • Storage (Android 9 and below only) — for exporting/importing data files You can deny optional permissions, but features that depend on them won't work. ANDROID VERSION NOTE: ShiftShow installs on Android 7.0+. Alarms and background reminders work most reliably on Android 12+. On Android 7–11 (including Android 8), alarms may be delayed or fail even when permissions are granted — disable battery optimisation for ShiftShow.

Shift Scheduling & Patterns

ShiftShow supports different shift systems, selectable in Settings → Shift Configuration: • 8-Hour — Day/Morning, Evening, and Night shifts • 12-Hour — Day and Night shifts • Mixed — any combination of 8-hour, 10-hour and 12-hour shifts
There are two ways to create shift patterns: 1. MANUAL SCHEDULING — Tap any date to add or edit a single shift. 2. SMART SHIFT BUILDER — Open the guided wizard to build a recurring rotation pattern. You can also access this from the 'Get started' choice dialog when you have no shifts. With the Smart Shift Builder, you can plan shifts years in advance.
8-HOUR SHIFTS: • Day/Morning shift (default alarm: 05:00) • Evening shift (default alarm: 13:00) • Night shift (default alarm: 21:00) 12-HOUR SHIFTS: • Day shift (default alarm: 05:00) • Night shift (default alarm: 17:00) 10-HOUR SHIFTS (available inside the Mixed system): • Day shift (default alarm: 05:00) • Night shift (default alarm: 17:00) MIXED SHIFTS — any combination of the 8H, 10H and 12H shifts above. OFF-DAY — optional alarm on rest days (default 08:00). All alarm times can be customised in the alarm settings page, and you can add multiple alarms per shift type.
Using our Smart Shift Builder, you can replicate any known shift pattern — no matter how complex — within the supported shift options.
Tap on any date in the calendar to open the shift picker for that day, choose the shift type, and save.
Yes. Tap on any existing shift to edit or delete it. Long-press the date for the quick-actions menu.
The Smart Shift Builder is an advanced pattern creation wizard that: • Guides you through creating complex rotation cycles • Automatically extends patterns into the future • Allows custom segments with flexible scheduling All users can create patterns that extend years into the future.
Yes. Edit individual shifts by tapping on them, create a new pattern starting from a different date, or delete and re-add shifts. Patterns are flexible and can be changed at any time.
Currently, shifts must be deleted individually. For a full wipe, use Settings → Clear Data — but this deletes all data, not just shifts.
Edit individual shifts manually for the transition period, or create a new pattern in the Smart Shift Builder.

Tasks & Events

There are three ways to add a task: • Tap 'Add to calendar' on the home screen, then choose 'Add Task' and follow the prompts. • Long-press the desired date and pick 'Add Task' from the menu. • From Today's Overview or Tomorrow's Overview, tapping 'Add' adds the task for that day.
There are three ways to add an event: • Tap 'Add to calendar' on the home screen, then choose 'Add Event' and follow the prompts. Set the event title, description, venue, date, and time. • Long-press a date and pick 'Add Event'. • From Today's Overview or Tomorrow's Overview, tapping 'Add' adds the event for that day.
Yes. In Settings → Notifications you can enable 30-minute reminders before tasks and events start, plus daily reminders at 07:00 and 17:00 that summarise the day's items.
Long-press the date that contains the task or event — you'll get a menu to view, edit, or delete it. You can also manage items from Today's Overview or Tomorrow's Overview.
Tasks can be set with different priority levels: Low, Medium, and High.
Long-press the date containing the task and select it from the menu, or open Today's Overview and manage tasks from there.
Tasks and events are displayed on the calendar. The Tracking screen provides reports and summaries, and Today's / Tomorrow's Overview gives a focused day-by-day list.

Leave & Overtime Tracking

Method 1: Long-press on any date → select 'Add Leave' → choose leave type, dates, and add notes Method 2: Tap 'Add to calendar' → select 'Add Leave' → follow the prompts Method 3: Open Today's Overview or Tomorrow's Overview → tap 'Add' Reports are available in the Tracking screen.
Method 1: Long-press on any date → select 'Add Overtime' → enter hours, times, and notes Method 2: Tap 'Add to calendar' → select 'Add Overtime' → follow the prompts Method 3: Open Today's Overview or Tomorrow's Overview → tap 'Add' → 'Add Overtime'
• Annual Leave • Sick Leave • Personal Leave • Maternity Leave • Bereavement Leave • Other Leave (custom notes)
Method 1: Long-press and hold any date → select type → fill in details and save Method 2: Tap 'Add to calendar' → choose type → complete the form Method 3: Open Today's or Tomorrow's Overview → tap 'Add' When you add an item from Tomorrow's Overview, the date defaults to tomorrow. From Today's Overview or the main 'Add to calendar' button, it defaults to today.
Open the Tracking screen and use the Leave Tracking section, or view the Annual Report or Monthly Report for a leave summary.
Yes. Long-press the date containing the entry and select it from the menu.
Overtime is tracked by hours. When you add an overtime entry you specify the number of hours worked (up to 24 hours per day), and optionally the start/end times and notes. Overtime is kept separate from regular shift hours in reports — see the HR Verification Reports section for how totals appear on exports.
Yes. Overtime is tracked separately from regular shifts.
When adding leave, set a start and end date that spans multiple days, weeks, or months. The app calculates the total duration automatically.
Both pages show a focused list of the shifts, tasks, events, leave, and overtime for that day, plus a single 'Add' button. • Today's Overview — opens from the calendar header. The 'Add' button defaults new items to today. • Tomorrow's Overview — opens from the calendar header (or the daily reminder notification). The 'Add' button defaults new items to tomorrow.

Data Management & Backup

Yes. ShiftShow has a full Export All Data feature in Settings → Export/Import All Data that produces a JSON backup of every shift, task, event, leave entry, overtime entry, setting and alarm. See 'How do I export and import all my data?' below for details. If you only want to share your schedule (not back it up), use the Share feature accessed via the Share icon below the calendar or in Settings → Share and Import Shifts.
Open Settings → Clear Data and follow the prompts. This permanently deletes all data on this device. If you have a Google Drive backup, it is preserved until you delete it.
Uninstalling removes the data stored on your device (depending on your device and settings). Make sure to back up any important data first using either Google Drive or Export All Data.
The app uses minimal storage. Most data is lightweight and won't significantly impact your device storage.
Yes, ShiftShow offers comprehensive sharing options: • Share current month's shift schedule • Share next month's shift schedule • Share annual shift schedules • Export in readable text format with app download links • Share via SMS, email, social media, or any supported installed app Access sharing through the Share icon below the calendar or in Settings → Share and Import Shifts.
ShiftShow includes a full Export/Import All Data feature in Settings. PURPOSE: • Create a manual backup of your data • Transfer your schedule to another device • Restore your data after reinstalling the app or resetting your device WHAT'S INCLUDED IN EXPORT: • All shifts • All tasks • All events • All leave entries • All overtime entries • All settings and alarms • Custom public holidays • Selected holiday country • HR Reports settings — employee name, employee number, shift start/end times, counting rule, Sunday vs public holiday rule, and report section choices HOW TO EXPORT: • Go to Settings → Export/Import All Data • Tap 'Export All Data' • A JSON backup file will be created • Save or share the file using email, cloud storage, or a file manager HOW TO IMPORT: • Open Settings → Export/Import All Data • Tap 'Import from File' • Select your previously exported JSON file IMPORTANT: • Do NOT open the JSON file directly from a file manager • Opening the file with another app will NOT restore your data • Importing must be started from inside ShiftShow using 'Import from File' WARNING: • Importing will replace all existing data on this device This feature ensures you never lose your schedule data and keeps you in full control of your information.
Sync with Google Drive is a quick way to back up to (and restore from) your own Google Drive without exporting and importing files manually. In Settings → Sync with Google Drive you can: • Tap 'Backup to Google Drive' to upload a JSON backup of all your data to your own Drive. • Tap 'Restore from Google Drive' to open the Drive app and pick a previously uploaded backup. The selected backup replaces all data on this device. ShiftShow does not have its own cloud servers — backups are stored only in your own Google Drive and the app cannot access any other files in your Drive.
Both produce the same JSON backup format. The difference is just where the file goes: • Sync with Google Drive — opens the Google Drive app to upload or pick the backup. Best for transferring between devices when you're signed into Drive. • Export/Import All Data — creates a JSON file you can share via email, save to any cloud, or move with a file manager. Best for manual backups or unusual transfer routes. You can mix and match — e.g. back up via Drive on your phone, then import the same JSON via Export/Import on a tablet.
1. Open Settings → Sync with Google Drive and tap 'Backup to Google Drive' (or tap the Backup Reminder notification). 2. The Google Drive app opens with your backup file ready. 3. Check the Google account and folder shown, then tap 'Upload' (called 'Save' on some versions of Drive). 4. Drive uploads the file in the background — you can follow the progress in your notification bar. You need the Google Drive app installed and signed in, plus an internet connection. ShiftShow hands the backup file to the Drive app, so the upload itself is done by Drive, using Drive's own settings. If the upload does not start on mobile data, see 'Why does my Google Drive backup only upload on Wi-Fi?' below.
If your backup does not appear in Google Drive, check these three things: 1. CORRECT GOOGLE ACCOUNT Make sure you are signed in to the correct Google Drive account. When the Drive app opens, check the account shown on the upload screen before you tap 'Upload'. If you have more than one Google account on your phone, the backup may have been saved to a different account. 2. ENOUGH STORAGE SPACE Make sure your Google Drive has sufficient free space. If your Google storage is full, Drive cannot save the backup. Your storage is shared between Google Drive, Gmail, and Google Photos — free up space or add storage, then run the backup again. 3. WI-FI ONLY SETTING By default, the Google Drive app only uploads files over Wi-Fi. This is a Google Drive setting, not a ShiftShow setting. On mobile data, the upload waits until you are back on Wi-Fi. Either connect to Wi-Fi, or turn the setting off in the Google Drive app: Settings → 'Transfer files only over Wi-Fi'. See 'Why does my Google Drive backup only upload on Wi-Fi?' below for the full steps. ShiftShow hands your backup file to the Google Drive app, and Drive does the upload — so these checks are all made in Google Drive, not in ShiftShow.
This is a Google Drive setting, not a ShiftShow restriction. By default, the Drive app only transfers files over Wi-Fi, so on mobile data the upload waits until you are back on Wi-Fi. TO UPLOAD OVER MOBILE DATA: 1. Open the Google Drive app 2. Tap the menu (three lines, top left) → Settings 3. Under 'Data usage', turn off 'Transfer files only over Wi-Fi' 4. Go back to ShiftShow and run the backup again IF IT STILL DOES NOT UPLOAD: • Check that Data Saver is off on your device, or that Google Drive is allowed unrestricted data • Check that mobile data and background data are enabled for Google Drive (Android Settings → Apps → Drive → Mobile data) Uploading over mobile data uses your data allowance, although ShiftShow backups are small files. ShiftShow may show a short Wi-Fi notice when you back up on mobile data — this is only a reminder and does not stop the upload.
The Backup Reminder is an optional notification that nudges you to back up your data to Google Drive. It is on by default to help you avoid losing data. In Settings → Backup reminder you can: • Turn the reminder on or off • Choose Weekly (and pick which day) or Monthly (1st of each month) • Choose the time of day for the reminder Tapping the reminder notification opens a quick backup screen where one tap uploads a fresh backup to your Google Drive.
All your data is stored locally on your device only. ShiftShow does not use cloud storage or remote servers. You can optionally back up to your own Google Drive (manually, or via the Backup Reminder). Your shifts, tasks, events, leave, overtime and settings are saved directly in the app's local storage. This approach protects your privacy and gives you full control over your data — ShiftShow cannot view or access any data stored on your device or your Google Drive.
No. ShiftShow does not create automatic backups and does not store your data remotely. All data is stored locally on your device. To protect your information, use Sync with Google Drive to back your data up to your own Google Drive, or use Export All Data in Settings to create manual backups. The optional Backup Reminder will nudge you on a schedule you choose.
To transfer your data to a new device: 1. On your old device: • Open Settings → Sync with Google Drive • Tap 'Backup to Google Drive' • This uploads a backup JSON file to your own Google Drive — ShiftShow cannot read your other Drive files. 2. On your new device: • Install and open ShiftShow • From the 'Get started' choice dialog, tap 'Restore from Google Drive' — or open Settings → Sync with Google Drive → 'Restore from Google Drive' • Select the backup JSON file from Google Drive
All data will be permanently deleted. This cannot be undone unless you have an exported backup or a Google Drive backup.
Yes. All data is stored locally and never transmitted to ShiftShow servers — we have none. ShiftShow does not collect, share, store, or access your personal schedule data. Optional Google Drive backups go to your own Drive only.

Notifications

Go to Settings → Notifications to configure all notification preferences.
ShiftShow offers comprehensive notification options: SHIFT NOTIFICATIONS: • Customisable alarms for all shift types (8H, 10H, 12H, Mixed) • Optional off-day alarms (default: 08:00, configurable) • Daily reminder at 17:55 to set tomorrow's alarms • Sound and vibration controls for all alarms TASK & EVENT NOTIFICATIONS: • 30-minute reminders before tasks and events start • Morning summary at 07:00 (today's items) and evening summary at 17:00 (tomorrow's items) • Each reminder type can be turned on or off independently BACKUP REMINDER: • Optional weekly or monthly nudge to back up to your Google Drive (on by default)
If notifications aren't working, check these common issues: DEVICE SETTINGS: • Enable notification permissions for ShiftShow in device settings • Check that battery optimisation isn't blocking the app • On Android 12+, grant 'Alarms & reminders' permission • On Android 7–11 (including Android 8), background reminders may be delayed or fail even with permissions granted — disable battery optimisation for ShiftShow • Ensure 'Do Not Disturb' isn't active during notification times APP SETTINGS: • Verify notifications are enabled in Settings → Notifications • Check that the specific notification type you expect is turned on TROUBLESHOOTING: • Restart the app and try again • Check the configured times match your expectations
• Task & event morning summary: 07:00 (covers today's items) • Task & event evening summary: 17:00 (covers tomorrow's items) • Shift alarm reminder: 17:55 (prompts you to confirm tomorrow's alarms)
Yes. In Settings → Notifications you can individually enable or disable shift alarms, off-day alarms, task & event reminders, 30-minute reminders, the daily 17:55 alarm reminder, and the backup reminder.

Shift Alarms

Yes. Our smart alarms automatically check your schedule each day and trigger at the right time for your shift. You can customise alarm times in the alarm screen. In the app, on the top row of icons on the home screen, click on the far-right icon that looks like an alarm clock. Shift alarms settings: Settings → Alarm Settings. Ensure that 'Full screen alarm alerts' and 'Alarm notifications' are set to 'Allowed'. Note: ShiftShow installs on Android 7.0+, but shift alarms work most reliably on Android 12+. On Android 7–11 (including Android 8), alarms may be delayed or unreliable — disable battery optimisation for ShiftShow and see 'My alarm is not working' if you have issues.
Yes: • Settings → Notifications: turn off all shift alarms in one place • Alarms page: disable individual shift types • Snooze or dismiss alarms when they ring
If your alarm isn't working, try these solutions: 1. Check Battery Optimisation: Settings > Apps > ShiftShow > Battery > Disable optimisation 2. Enable Exact Alarms (Android 12+): Settings > Apps > ShiftShow > Special access > Alarms & reminders > Allow 3. Check Do Not Disturb: Make sure DND is off or ShiftShow is allowed 4. Volume Settings: Ensure alarm volume is up and not muted 5. Restart the App: Force close and reopen ShiftShow 6. Check Permissions: Notifications and full-screen alarm alerts must both be enabled 7. Disable Power Saving: Turn off battery-saving or app-standby modes temporarily 8. Disable Deep Sleep for ShiftShow: Settings → Battery (or Battery and device care → Battery) → Background usage limits → Never sleeping apps. Tap Add apps, then add ShiftShow. 9. Update Android: Make sure your device is on the latest version DEVICE-SPECIFIC NOTES: • Android 7–11 (including Android 8): The app installs and alarms are supported, but may be delayed or unreliable due to battery optimisation and older Android background limits. Disable battery optimisation for ShiftShow; Android 12+ is recommended for reliable alarms. • Android 12+: Requires 'Alarms & reminders' permission for exact alarms • Samsung: Disable 'Put unused apps to sleep' to prevent alarms from being delayed • Xiaomi / MIUI: Disable 'MIUI optimisation' and 'Battery saver' • OnePlus: Disable 'Battery optimisation' for ShiftShow If the problem persists, try uninstalling and reinstalling the app.
Shift alarms automatically check your schedule each day and trigger at the configured time for your shift: • Alarms are set automatically based on your schedule • Each shift type can have its own alarm time (and you can add multiple alarms per shift) • Alarms are scheduled the day before your shift • You'll receive a reminder at 17:55 to confirm tomorrow's alarms • Alarms can be customised in Settings → Notifications → Alarm Settings
Yes. When a shift alarm rings, you can snooze it for the configured snooze duration (default 10 minutes). The alarm will ring again after the snooze period.
No. Alarms require your device to be powered on.
Off-day alarms are optional alarms for your rest days (days without a shift). You can enable and configure the time in Settings → Notifications → Alarm Settings. The default time is 08:00 and you can change it or add additional times.
Yes. Each shift type can have multiple alarm times — useful if you want a wake-up alarm and a separate 'leave the house' alarm. Add or remove alarm times in Settings → Notifications → Alarm Settings.

Public Holidays

ShiftShow loads public holidays automatically for your country — no internet required. Holidays appear on the calendar with a distinct colour so you can see them at a glance. Monthly and Annual reports list only public holidays you worked, with hours per holiday and a total in the Special Time Summary.
Go to Settings → Public Holidays and choose your country from the dropdown. Holiday data is stored in the app and works fully offline. During first-time setup, Settings opens to this section automatically after you finish alarm setup. Over 160 countries are supported.
Yes. From the calendar, tap 'Add to calendar' → 'Add Public Holiday'. You can also long-press a date and pick 'Add Public Holiday' from the quick-action menu. Custom holidays appear on the calendar alongside automatic ones. If a custom holiday falls on the same date as a built-in holiday, your custom entry takes priority.
No. All public holiday data is bundled with the app and loads offline. You only need internet for Google Drive backup/restore and ads.
Yes. Export/Import All Data and Google Drive backup include your custom holidays and selected holiday country.

Reports & Statistics

ShiftShow offers Weekly, Fortnightly, Monthly, and Annual reports on the Tracking screen — all four now let you pick a custom start and end date: • Weekly Report — up to one week (e.g. Monday to Monday) • Fortnightly Report — up to two weeks • Monthly Report — up to one month (e.g. 24 Aug to 24 Sep, or last day to last day such as 30 Sep to 31 Oct) • Annual Report — any range you choose, with no maximum All four include completed shifts, a Special Time Summary (Sunday hours, overtime, public holiday hours), Sunday times, hour allocation breakdown, public holiday details, overtime dates, leave breakdown, and HR verification exports (PDF, Excel, CSV). You can choose which sections appear in Settings → HR Reports → Report sections. The Tracking screen also has separate sections for overtime, leave, task, and event tracking with custom date ranges. All reports are based on data you enter. ShiftShow does not guarantee accuracy — see HR Verification Reports for calculation rules and disclaimers.
The weekly report is simular to the Monthly Report, but with a date range of up to one week (e.g. Monday to Monday). Open Tracking → Weekly Report → View Weekly Report, then set your start and end dates to cover the week you want. You'll see: • Shifts completed in that period • Shift breakdown by type • Special Time Summary — total Sunday hours, total overtime, and total public holiday hours • Sunday Times — worked Sundays with dates, hours, and Sunday hour slices • Hour allocation breakdown — ordinary, Sunday, and public holiday hours per shift • Public holidays you worked in the period (date, name, and hours) • Overtime dates and hours • Leave summary
Same as the Weekly Report — the Fortnightly report is simular to the Monthly Report, but , just with a date range of up to two weeks instead. Open Tracking → Fortnightly Report → View Fortnightly Report, then set your start and end dates to cover the fortnight you want.
The Monthly Report lets you pick any custom start and end date, up to one month (e.g. 24 Aug to 24 Sep, or last day to last day such as 30 Sep to 31 Oct), so it can just as easily cover a week, a fortnight, a full calendar month, or any other span up to that limit: • Shifts completed in the period • Shift breakdown by type (including off days in the completed portion of the period) • Special Time Summary — total Sunday hours, total overtime, and total public holiday hours • Sunday Times — worked Sundays with dates, hours, and Sunday hour slices • Hour allocation breakdown — ordinary, Sunday, and public holiday hours per shift • Public holidays you worked in the period (date, name, and hours) • Overtime dates and hours • Leave summary Access: Tracking screen → Monthly Report → View Monthly Report.
The Annual Report also lets you pick a custom start and end date. • Shifts completed in the period • Shift breakdown by type (including off days in the completed portion of the period) • Special Time Summary — total Sunday hours, total overtime, and total public holiday hours • Sunday Times — worked Sundays with dates, hours, and Sunday hour slices • Hour allocation breakdown — ordinary, Sunday, and public holiday hours per shift • Public holidays you worked in the period (date, name, and hours) • Overtime dates and hours • Leave summary Access: Tracking screen → Annual Report → View Annual Report.
Both Monthly and Annual reports include a Special Time Summary card with three totals at a glance: • Total Sunday Hours — shift hours worked on Sundays in the period • Total Overtime — total overtime hours recorded for the period • Total Public Holiday Hours — shift hours worked on public holidays Detailed date lists for Sundays, overtime, and public holidays appear in separate sections below the summary.
In the Tracking screen, you can filter statistics by date range: • Overtime Tracking: Set 'From Date' and 'To Date' to see overtime for that period • Leave Tracking: Filter leave entries by date range • Task Tracking: View task statistics for specific periods • Event Tracking: See event summaries for date ranges For a full shift/hours report over a specific range, use the Monthly Report (any range up to one month) or the Annual Report (any range, no maximum) and set your own start and end dates.
Yes. When viewing a Monthly or Annual report, use the toolbar icons at the top: • Print — multi-page A4 portrait HR verification report; best for printing via Google Docs, Drive, or email. Saves to Downloads, then opens the share sheet. Includes Employee and Manager signature lines, page numbers when needed, and a ShiftShow QR code footer. • Excel — exports to .xlsx verification format, saves to Downloads, then opens the share sheet • Payroll — exports a flat CSV file (one row per shift, allocation slice, or leave entry) built for import into payroll software or the Manager's Desk, not for reading directly. It has no sections or signature lines. Only the PDF and Excel exports respect the sections you have enabled in Settings → HR Reports → Report sections; the Payroll CSV always includes its fixed set of columns. Set your employee name and employee number in Settings → HR Reports before exporting. See HR Verification Reports for full export contents and calculation rules.
Use PDF for printing. It uses multiple A4 pages at full size when there is a lot of data (long hour-allocation or overtime lists), with 'Page X of Y' in the footer. Excel is an HR verification spreadsheet for payroll review — open it in Excel or Google Sheets. Google Docs does not apply Excel print layout when previewing .xlsx files, so the content may appear small on the page. CSV is a flat data file rather than a formatted spreadsheet; it can be opened in Excel or Google Sheets, but it's built for import into payroll software or the Manager's Desk, not for printing. For all exports, set your employee name and employee number first in Settings → HR Reports.

HR Verification Reports

HR verification reports are formal Monthly and Annual summaries designed for optional payroll review, manager sign-off, and personal record keeping. The PDF and Excel versions pull together your scheduled shifts, leave, overtime, Sunday work, and public holiday work into one document with totals, date-by-date breakdowns, and Employee / Manager signature lines. The Payroll CSV contains the same underlying figures as a flat, one-row-per-shift file with no sections or signature lines, built for import into payroll software or the Manager's Desk rather than for reading directly. You can export them as PDF (best for printing), Excel (.xlsx), or CSV from the Monthly or Annual report screen. All exports are generated on your device — nothing is sent to ShiftShow servers. IMPORTANT: Reports reflect only what you have logged in the app. They are not official payroll documents. ShiftShow is not responsible for inaccurate reports caused by incorrect or incomplete user input, or for any misinterpretation or reliance on exported data by you, HR, or any third party.
ShiftShow HR verification reports help employees, line managers, and HR compare recorded shift information against official company records. They are intended as a planning, verification, and reconciliation aid — not as an official payroll document, payslip, or replacement for the employer's payroll system. FOR EMPLOYEES: 1. Keep your calendar up to date — make sure your shifts, leave, and overtime are logged accurately in ShiftShow for the report to reflect the information you have entered. 2. Open Settings → HR Reports — enter your employee name and employee number, set your shift times and counting rules if needed, and select the report sections you want included. 3. Open Tracking → Monthly Report or Annual Report → View report. 4. Review the on-screen summary — check the Special Time Summary, Sunday Times, hour allocation, overtime, public holidays, and leave sections. Make sure the figures reflect your intended counting rules. 5. Export the report — tap PDF, Excel, or Payroll to export. The file saves to Downloads, then the share sheet opens so you can email it to HR or your line manager. 6. Review before sending — check that the employee details, reporting period, shift information, and totals are correct. 7. Sign if required — print the PDF if a signed paper copy is needed, then sign the Employee Signature line. The manager can complete the Manager Signature line after verification. 8. Keep a copy — retain the exported report for your own reference, especially if it is being used to discuss differences in hours, overtime, leave, or public holiday calculations. FOR MANAGERS / HR: 1. Receive the exported PDF, Excel, or CSV from the employee. 2. Check the employee name, employee number, reporting period, and generated date at the top of the report. 3. Review the report settings and counting rules — where relevant, confirm the shift start and end times, night-shift midnight split, Sunday rules, public holiday rules, and overtime settings used to calculate the figures. 4. Compare the report against official records — check Total Hours Worked, overtime dates, Sunday hours, public holiday hours, leave, and other relevant totals against the shift schedule, time clock, payroll system, or other company records. 5. Investigate differences — if the report does not match the official records, check the original entries and agreed company rules. The report can help identify where a difference may have occurred, but it is not the final authority. 6. Confirm the figures — once the employee and manager agree on the figures, the manager can sign the Manager Signature line on the PDF if required. 7. Submit through the company's normal process — send the verified information to the payroll office or use it according to the employer's established payroll procedures. CSV AND PAYROLL USE: If the manager or company uses the CSV, you can compile a single CSV record that combines all employees into one document by using the Manager's Desk. The CSV may be suitable for importing into payroll systems that support the format, either directly or through column mapping or conversion to the payroll provider's template. However, compatibility depends on the payroll system, and all employee-submitted hours and overtime should be checked and validated before being used for payroll processing. IMPORTANT: ShiftShow figures are mathematically accurate for the data and settings provided, but they do not replace the employer's official records. The employment contract, employer policy, agreed counting rules, and official payroll system always have the final say. Individuals can use ShiftShow without their employer using the HR or payroll features. The focus of ShiftShow is shift scheduling and the features associated with it. The HR export features are intended to help employees, managers, and HR keep track of hours worked and overtime, and compare those figures against company records. TIP: Use PDF for printing (A4 layout). Use Excel if you need to review or work with figures in a spreadsheet. Use CSV if you need to transfer or import data into another system.
The reports give you a clear, date-by-date record of the hours and shifts you have worked, plus Sunday hours, overtime, and public holiday hours. Common uses: • Support your timesheets — give your line manager the PDF, Excel, or CSV so they can complete and verify timesheets or verification sheets against the hours you actually worked. • Cross-check what your employer recorded — compare your Sunday times, overtime, and public holiday hours against the figures your line manager or HR completed, and raise any differences for review. • Personal record keeping — keep your own copy of each period for reference. The figures are calculated from the shifts, leave, and overtime you log and the settings you choose, so keep your calendar and Settings → HR Reports up to date for the report to match reality. The report is a verification aid, not an official payroll document.
We suggest treating ShiftShow reports as a verification and reconciliation aid — a starting point for checking hours — rather than as an official payroll document or payslip. Suggested approach: • Agree the rules up front — the employee and manager should agree on the counting rules (including how night shifts split at midnight), the Sunday and public holiday rules, and the shift start and end times, so both sides calculate on the same basis. • Keep entries current — the employee should keep shifts, leave, and overtime logged accurately throughout the period. • Cross-check against source records — the manager, payroll office, or HR should compare the report totals (Total Hours Worked, Sunday hours, overtime dates, and public holiday hours) against the shift schedule, time clock, payroll system, or any other official documentation used by the company. • Resolve differences — investigate any mismatch against the original records; the report helps locate it but is not the final authority. • Sign off — once both parties agree, sign the Employee and Manager signature lines on the PDF for your records. The contract, employer policy, and official payroll system always have the final say. ShiftShow figures are mathematically accurate for the data and settings provided, but they do not replace your employer's records. CSV records can be imported into payroll systems that support the format — but hours and overtime submitted by the employee should always be confirmed and validated first. If the CSV is used, FOR MANAGERS / HR: 1. Receive the exported CSV from the employee. 2. Check the employee name, employee number, period, and generated date at the top. 3. Compare totals against your payroll records — especially Total Hours Worked, overtime dates, Sunday hours, and public holiday hours. 4. Sign the Manager Signature line on the PDF if required. If the manager or company uses the CSV, you can compile a single CSV record that combines all employees into one document by using the Manager's Desk. If the PDF is used, FOR MANAGERS / HR: 1. Receive the exported PDF from the employee. 2. Check the employee name, employee number, period, and generated date. 3. Compare totals against your payroll records — especially Total Hours Worked, overtime dates, Sunday hours, and public holiday hours. 4. Sign the Manager Signature line on the PDF if required. 5. Send the PDF to the payroll office. Individuals can use ShiftShow without their employer using the HR or payroll features. The focus of ShiftShow is shift scheduling and the features associated with it. The HR export features are intended for HR and managers to keep track of hours worked and overtime, and to compare those figures against their records, if required. TIP: Use PDF for printing (A4 layout). Use Excel or CSV if you need to paste figures into a spreadsheet.
Go to Settings → HR Reports and enter your employee name and employee number. Both are optional, saved automatically on your device only, and included on PDF, Excel, CSV, and Share exports when filled in. They are also included in full data backup and restored on import. ShiftShow does not transmit this information to any server. When you open a Monthly or Annual report, a Report settings screen appears first so you can review name, shift times, counting rules, Sunday vs public holiday, and report sections. Tick Don't show this again to skip it in future; leave it unticked to see it every time you open a report. You can always change these options in Settings → HR Reports.
Reports count completed work in the report period — from the period start up to today (not future shifts). SHIFT HOURS: • 8-hour shifts (Day, Evening, Night) = 8 hours each • 10-hour shifts = 10 hours each • 12-hour shifts = 12 hours each • Standby = 8 hours • Off days and empty calendar dates = 0 hours TOTAL SHIFTS WORKED counts work shifts you actually completed in the period, excluding leave days. TOTAL HOURS WORKED is the sum of shift hours for those completed work days. Overtime hours are tracked separately and are not added into Total Hours Worked. SHIFT BREAKDOWN in completed shifts walks every calendar day from the period start to today: • Worked shifts are counted by type (Day, Night, etc.) • Days with no shift assigned count as Off Days • Leave days are not counted as off days — they appear only in the Leave Summary section
Overtime comes only from overtime entries you add in the app — long-press a date → Add Overtime, or use Add to calendar / Today's Overview. For the report period, ShiftShow sums the hours from every overtime entry whose date falls within that month or year. • Total Overtime appears in the Special Time Summary and the Hours & Shift Summary on the PDF and Excel exports; the Payroll CSV lists each overtime entry's hours in its own Overtime Hours column instead. • Each overtime date and its hours are listed in the Overtime section (ascending date order). • Overtime is not merged into Total Hours Worked — it is shown as a separate total so HR can review it independently. • Sunday Overtime Hours are overtime entries logged on a Sunday calendar date, listed in the Sunday Times section.
By default (Settings → HR Reports → Counting rule: Full shift on the calendar day), a Sunday shift logged on Sunday counts entirely as Sunday time — even if part of the shift runs into Monday morning. If you work nights that cross midnight, you can change the counting rule and enter your shift start/end times in Settings → HR Reports: • Full shift on the calendar day — all hours stay on the day you logged the shift (default) • Split hours at midnight — hours are cut at 00:00; only the Sunday portion counts as Sunday time • Whole weekend night = Sunday — night shifts starting Saturday or Sunday count entirely as Sunday (employer-specific) For each worked Sunday, the report records the date and hours. Sunday Overtime Hours are overtime entries logged on a Sunday calendar date, listed with dates in the Sunday Times section. Your contract or employer policy is always the final word — pick the rule that matches what HR expects.
Go to Settings → HR Reports → Your shift start & end times. Each shift has separate Start and End fields (24-hour HH:MM). Type four digits for compact entry (0600 → 06:00). Overnight shifts use an evening start and morning end (e.g. start 19:00, end 07:00). The fields shown match your shift configuration: • 8-hour — day, evening, and night (or day and night for two-shift 8h) • 10-hour — day and night • 12-hour — day and night • Mixed — all 8h, 10h, and 12h shift types, grouped by duration For 12h and 10h rotas, day and night should meet with no overlap. For 8h two-shift rotas, a gap between day and night is normal. Times save when you leave each field. They are used for Sunday and public holiday hour allocation when you choose a split-at-midnight counting rule. Examples on screen update when you change your night shift times, so you can check the maths before exporting.
Public holidays in the report come from your selected country (Settings → Public Holidays) plus any custom holidays you added. Only public holidays you worked appear in the Public Holidays section — each row shows date, holiday name, and hours worked on that day. Hours are based on your shift type (8, 10, or 12) when you were scheduled to work, or from the hour allocation breakdown when you use a split-at-midnight counting rule. If a night shift crosses midnight into a public holiday (e.g. Sunday night into Monday PH), those Monday-morning hours appear under Monday's holiday row — not under the day you logged the shift. When the same hours could count as both Sunday and public holiday time, Settings → HR Reports → Sunday vs public holiday controls which total appears in reports. Total Public Holiday Hours Worked appears in the Special Time Summary and the Hours & Shift Summary on the PDF and Excel exports; the Payroll CSV lists each public holiday's hours in its Public Holiday Hours column, row by row.
Many employers pay only one premium when both could apply — for example Easter Sunday, or a Sunday night that runs into a Monday public holiday. Go to Settings → HR Reports → Sunday vs public holiday and choose: • Public holiday overrides Sunday — only public holiday hours are counted when both apply (default) • Sunday overrides public holiday — only Sunday hours are counted when both apply • Both Sunday and public holiday apply — hours count toward both totals (use only if your contract pays both) This works together with your counting rule (how night shifts are split at midnight). Reports, PDF, Excel, and CSV all use your choice. It is included in full data backup.
Leave is tracked separately from worked shifts and off days: • Leave days are excluded from Total Shifts Worked and Total Hours Worked • Leave days are not counted as Off Days in the shift breakdown Leave itself is reported in the Leave Summary section: • Total Leave Days — number of leave entries in the period • Total Leave Hours — sum of scheduled shift hours on those leave days (8, 10, or 12 per shift type; 0 if no shift was scheduled) • Leave Breakdown — days and hours by leave type (Annual, Sick, Personal, etc.) On public holidays, a leave entry sets status to Leave instead of Worked or Off.
Monthly and Annual PDF and Excel exports are HR verification reports. Only sections enabled in Settings → HR Reports → Report sections are included. Core content can include: • Report title (Monthly or Annual Shift & Hours Verification Report) • Employee name and employee number (if set in Settings → HR Reports) • Report period and generated date • Hours & Shift Summary — two-column metrics table • Sunday Times — dates, hours, and Sunday hour slices • Hour allocation breakdown — ordinary (Ord), Sunday (Sun), and public holiday (PH) hours per shift, including day shifts • Overtime — date and hours (or a note if none recorded) • Public Holidays — date, holiday name, and hours (worked holidays only) • Shift Breakdown and Leave Breakdown • Verification section with Employee Signature and Manager Signature lines PDF only: multi-page A4 portrait layout at full size, page numbers when needed, plus a ShiftShow QR code footer in the bottom-right corner ('Generated by ShiftShow' above the code, 'Scan to download' below). The Payroll CSV is different: it's a flat file with one row per shift, allocation slice, or leave entry, and a fixed set of columns — Employee Name, Staff Number, Date, Shift Type, Ordinary Hours, Overtime Hours, Sunday Hours, Public Holiday Hours, Total Hours, Leave Type, Leave Hours, and Sunday/PH Rule Applied. It doesn't include the section headers, summary tables, or signature lines above — it's built to be imported into payroll software or compiled in the Manager's Desk, not read directly. Files save to Downloads, then the share sheet opens.
Before exporting, confirm: • Your employee name and employee number are correct in Settings → HR Reports • Your counting rule, Sunday vs public holiday rule, and shift start/end times match what HR expects • The report sections you need are ticked in Settings → HR Reports → Report sections • All shifts for the period are on the calendar • Leave days are logged on the correct dates • Overtime entries include the right dates and hours • Your holiday country is set correctly in Settings → Public Holidays • Any employer-specific public holidays are added as custom holidays ShiftShow calculates from the data on your device. It does not connect to your employer's payroll system — HR should treat the export as a verification aid, not an official payslip. You are responsible for the accuracy of your entries.
ShiftShow's calculations are mathematically accurate based on two things only: the data you enter and the settings you choose (counting rule, Sunday vs public holiday rule, and shift start/end times). Given the same inputs and settings, the totals — hours worked, Sunday hours, overtime, public holiday hours, and the hour allocation breakdown — are computed consistently and correctly. What ShiftShow CANNOT do is confirm that your inputs are correct. It does not connect to or verify against time clocks, rotas, employer records, or payroll systems. If a shift, leave day, or overtime entry is missing, wrong, or out of date — or if your settings do not match your employer's rules — the report will faithfully reflect those errors. Reports (HR verification PDF, Excel, and CSV exports, Monthly and Annual summaries, and overtime, leave, task, and event statistics) are convenience and verification tools for personal planning and optional HR review only. They are not official payroll documents, payslips, or legal records. To the fullest extent permitted by law, ShiftShow and its developers accept no liability for any inaccuracy arising from your inputs or settings, or for any decision, reliance, dispute, loss, or claim made by you, your employer, HR, a line manager, or any third party based on these reports. Your contract, employer policy, and official payroll records always take precedence.
Yes. Go to Settings → HR Reports → Report sections and tick the sections you want on Monthly and Annual reports and in PDF, Excel, and CSV exports. You can include or exclude: • Completed shifts • Special time summary • Overtime • Public holidays • Sunday times • Hour allocation breakdown • Leave summary All sections are on by default. Your choices are saved on your device and included in full data backup.
The hour allocation breakdown lists each completed shift in the report period with hours split into: • Ord — ordinary hours • Sun — Sunday hours • PH — public holiday hours Day and night shifts are both included. How hours are tagged depends on your counting rule in Settings → HR Reports (Full shift on the calendar day, Split hours at midnight, or Whole weekend night = Sunday), your Sunday vs public holiday rule when both apply, and the shift start/end times you enter. The Sunday Times section shows Sunday totals and individual Sunday hour slices. Enable or disable these sections under Report sections in Settings → HR Reports.
There's no automatic, direct integration — and that's intentional, since payroll systems, file formats, and employer rules differ too widely for ShiftShow to support them all reliably or safely. But the CSV export isn't just for reading: once HR or your line manager has checked and verified the figures against their own records, most payroll systems' own CSV import tools can map and import it, the same way they'd import any other timesheet file. • PDF — print, sign, and file • Excel — open in Excel or Google Sheets to review, or copy figures into your own payroll template • CSV — open to review, or import into your payroll system's own CSV import tool once verified Either way, HR's own records and rules always take precedence over the app. Nothing in a ShiftShow export is auto-trusted — HR may choose not to use the app's figures at all if they don't match. The structured sections (Sundays Worked, Overtime, Public Holidays, summary totals) are laid out so HR can cross-check hours quickly, whether importing or copying figures by hand.

Technical Support

Restart the app, clear the cache, or restart your device. Close other apps and check available memory.
If the app crashes or freezes: 1. Force close the app and restart it 2. Restart your device 3. Clear the app cache (Android Settings → Apps → ShiftShow → Storage → Clear Cache) 4. Check if you have the latest version of the app 5. Ensure your device has sufficient storage space 6. If problems persist, export your data, uninstall, and reinstall the app Report persistent issues via the contact page.
Email [email protected] directly with details of the bug. Please include: • A full description of what happened and what you expected instead • A screenshot, if possible • Your Android version • Your phone's make and model The more detail you give us, the faster we can track down the issue.
If the calendar display is incorrect: • Restart the app • Check that your device date and time are correct • Navigate away and back to refresh the calendar • Clear app cache if the issue persists • Ensure you're using a compatible Android version (7.0+)
First, make sure you're actually looking at the right place: • Navigate to the correct month and year — it's easy to land on the wrong one after using the calendar's arrow buttons. • Check your shift system in Settings → Shift Configuration — switching between 8-hour, 12-hour, or Mixed can change which shifts show as scheduled. If shifts are genuinely gone, the most common cause is Settings → Clear Data being used (by you, accidentally, or by someone else with access to the device), or the app's data being cleared from Android's own app settings — both permanently erase local data with no separate confirmation step to check afterwards. If that's happened, your only way back is a backup: restore from Google Drive (Settings → Sync with Google Drive → Restore from Google Drive) or import a previously exported JSON file (Settings → Export/Import All Data → Import from File).
ShiftShow is designed to be battery-efficient. We have conducted numerous tests to ensure the app's battery usage is minimal, and it consistently outperformed other apps we compared it to. If you notice any unusual drain, close the app after use and check your device's battery settings to see which apps are consuming the most power.
Yes. ShiftShow uses your device's time zone and adjusts automatically when you travel.
Open Google Play Store → search 'ShiftShow' → tap 'Update' if available.
Android 7.0 (Nougat) or higher phones and tablets. The app will install and run on all supported versions (including Android 7 and 8). Core scheduling features work on every supported version. Shift alarms and background reminders are most reliable on Android 12+; on Android 7–11, disable battery optimisation for ShiftShow if you rely on alarms.
See the Permissions section for the full list. In short, notifications and exact-alarm permissions are required for shift alarms; internet is only needed for Google Drive backup/restore and ads. Android version note: ShiftShow installs on Android 7.0+. Alarms and background reminders work most reliably on Android 12+. On Android 7–11, alarms may be delayed or fail even when permissions are granted — disable battery optimisation for ShiftShow.
Yes! Works on Android tablets running Android 7.0 (Nougat) or higher. Shift alarms are most reliable on Android 12+; on older versions, disable battery optimisation for ShiftShow if you rely on alarms.
You can change your shift system at any time: 1. Go to Settings → Shift Configuration 2. Select your new shift system (8-hour, 12-hour, or Mixed) 3. Existing shifts will remain, but new shift types will become available 4. You may need to update existing shifts manually to match your new system

Privacy & Advertising

It depends on where you are. If you are in the European Economic Area (EEA), the United Kingdom, or Switzerland: ShiftShow automatically shows only non-personalised ads. This happens automatically based on your device's region — there is no setting to turn on or off, because the app does not attempt to personalise ads for you in the first place. Everywhere else: ads may be personalised using Google's usual advertising signals (such as your advertising identifier), the same way most free, ad-supported apps work. See our Privacy Policy for full details on what data is used for ads.
ShiftShow does not have its own in-app ad-personalisation setting — ad personalisation is controlled at the device and Google Account level instead: • On your device: Android Settings → Privacy → Ads → Delete advertising ID (or ‘Opt out of Ads Personalisation’, depending on your Android version). Path may vary by device. • Across your Google Account: visit https://adssettings.google.com and turn off ad personalisation. If you are in the EEA, UK, or Switzerland, ShiftShow already shows you only non-personalised ads automatically, so this step is optional for you. Turning off ad personalisation does not remove ads from the app — it only makes the ads you see less tailored to your interests.
ShiftShow uses Google AdMob to show ads. Google may process device and advertising-related information — such as device type, app version, advertising identifier, language, coarse location derived from your IP address, and ad-interaction events — to deliver and measure ads. ShiftShow never shares your schedule data — shifts, tasks, events, leave, or overtime — with AdMob, Google, or any advertiser. That data stays on your device and is never used for ads. See our Privacy Policy for the full breakdown of what is and isn't shared.
